EM 02.02.07: As part of its Emergency Management Plan, the organization prepares for how it will manage staff during an emergency

Policy Description:  

In order to provide safe and effective care, treatment, or services, staff roles are well defined in advance. Staff roles and responsibilities may be documented in the Emergency Management Plan through a variety of formats (for example, job action sheets, checklists, flowcharts). This policy shall be applicable to Iris corporate staff. The head of the department will review on a biennial basis.

PROCEDURES:

Refer to the Emergency Management Plan for all staff roles and responsibilities. Each person names for each role and/or responsibility has been appropriately trained on what is expected of them. They are also given the appropriate documentation, logs, or any other relevant paperwork in order to complete the duty as assigned. Each person with a given role or responsibility is also aware of how they should report to in an emergency. This process must be practiced at least once per year and documented in a training log as such. It is the responsibility of each person to ask questions during the training if anything is unclear or could be done more efficiently and/or in a safer manner. Feedback and continual improvements are constantly evolving and should be updated on an annual basis. 

 

 

EM 02.02.11: Organization prepares for how it will manage individuals it serves in the even of an emergency in its Emergency Management Policy

Policy Description:  

Iris Telehealth will plan to assist any Iris provider that deals with an emergency event that interrupts patient care, treatment, or services. Any emergency that occurs at the Iris Telehealth headquarters in Austin will not affect patient care, treatment, or services due to the remote location of all patients. This policy shall be applicable to Iris corporate staff and providers. The head of the department will review on a biennial basis.

 

PROCEDURES:

All patients being cared for, treated, and/or served are at a distant site that is not physically associated with Iris Telehealth. Because the patients are seen remotely by all the Iris Telehealth providers, there will be no changes needed in the event of an Iris headquarters emergency. If an individual Iris provider has an emergency, the day’s patients will be cancelled and rescheduled when the Iris provider is able to fully recover. In an extreme situation, the patients can be moved to another provider on-site or with a different Iris provider. As stated in the EMP, corporate employees may continue their work from home if an emergency occurs and patient care, treatment, and/or services will not be interrupted. 

 

 

EM 03.01.03: The organization evaluates the effectiveness of its Emergency Management Plan

Policy Description:  

Iris Telehealth will review its EMP on an annual basis. If the organization uses the EMP in a real emergency, it will be reviewed following the emergency as well. A mock drill will also be performed annually and used to evaluate and update the plan as needed. Based on the mock drill and any real-life emergencies, interim measures may be used until final modifications can be implemented. This policy shall be applicable to Iris corporate staff. The head of the department will review on a biennial basis.

 

PROCEDURES:

Refer to the Emergency Management Plan for annual review guidelines for the EMP. All changes need to be addressed by the appropriate team that evaluates the plan, and the Medical Director and/or CEO will sign off on any final changes made. Interim changes may be used until final modifications are implemented.
